UnifySig

Email signature management · Microsoft 365 & Google Workspace

One signature policy for every mailbox you look after.

UnifySig applies branded, compliant signatures across Microsoft 365 and Google Workspace from one console. Connect the tenant, design once, assign by group. Staff never touch it, and it looks the same on the phone as it does in Outlook.

One email when UnifySig is fully launched. No drip campaign, no sales calls.

  • Server-side, every client
  • Read-only directory access
  • Data stays in-region

Why this keeps coming back

Signatures are a small problem that never stays fixed.

Every IT team has tried the PDF, the Outlook template, the transport rule. Here is what actually goes wrong, and what UnifySig does about it.

Everyone has typed their own.

Twelve fonts, four logos, two people still listing the fax number. Marketing sends a PDF of the "new" signature and about a third of staff paste it in.

UnifySig writes the signature server-side as mail leaves the tenant. Nobody pastes anything, and the old ones stop mattering.

Phones and web clients do their own thing.

Outlook for Windows is fine. Outlook on iPhone, the Gmail app, a shared mailbox on a kiosk: each one drops the signature or mangles the HTML.

Because the signature is applied in transit, every client gets the same result, including mobile, web, shared mailboxes and mail sent from line-of-business apps.

New starters and movers slip through.

Someone changes title, moves office or leaves. The directory is right within the hour; their signature says otherwise for months.

Fields come from Entra ID or Google Directory on every send. Fix the directory once and the signature is correct on the next email.

Legal wants the disclaimer. Everywhere.

A transport rule appends it, then it appears three times in a thread, or not at all for external replies from a phone.

Disclaimers are part of the signature policy: once per thread, only where you say, with a version history when legal changes the wording again.

How it works

Connected before lunch. Org-wide before Friday.

Four steps, none of which involve touching an endpoint or emailing instructions to staff.

  1. 01≈ 10 min

    Connect the tenant

Sign in as a Global Admin (M365) or Super Admin (Google) and approve a short list of read-only scopes. Nothing is installed on endpoints.

  2. 02≈ 30 min

    Design the signature

Start from a template or paste your existing HTML. Drop in directory fields, a banner slot and a disclaimer. Preview against real users.

  3. 03≈ 15 min

    Assign by group or OU

Map signatures to security groups, dynamic groups or organizational units. Order rules, set exceptions, see who gets what before you turn it on.

  4. 04ongoing: none

    Done. It stays done.

Directory changes flow through automatically. Marketing schedules banners without a ticket. You get an audit log and a monthly summary.

Platforms

Both tenants. One console.

Plenty of organizations run Google for some teams and Microsoft for others, or are mid-migration. UnifySig treats each as a connected tenant under one policy set.

In North America

For teams in the United States and Canada.

The global site is priced in US dollars and defaults to US hosting. Here is what that means in practice.

Hosted in the United States

Pick the US region at sign-up and nothing about your tenant leaves it. Support access is logged and limited to that environment.

Only directory fields, never mail

UnifySig reads names, titles and phone numbers from Entra ID or Google Directory and never stores message content, which keeps CCPA/CPRA, SOC 2 and HIPAA-adjacent reviews short.

USD, card or invoice

Prices in US dollars; sales tax added where it applies. Annual Business and all Enterprise plans can be invoiced on 30-day terms.

Support across US hours

Our team is in Sydney, which lines up with US afternoons and evenings. Email any time and get a reply within one business day.
