Why this keeps coming back

Signatures are a small problem that never stays fixed.

Every IT team has tried the PDF, the Outlook template, the transport rule. Here is what actually goes wrong, and what UnifySig does about it.

Everyone has typed their own.

Twelve fonts, four logos, two people still listing the fax number. Marketing sends a PDF of the "new" signature and about a third of staff paste it in.

UnifySig writes the signature server-side as mail leaves the tenant. Nobody pastes anything, and the old ones stop mattering.

Phones and web clients do their own thing.

Outlook for Windows is fine. Outlook on iPhone, the Gmail app, a shared mailbox on a kiosk: each one drops the signature or mangles the HTML.

Because the signature is applied in transit, every client gets the same result, including mobile, web, shared mailboxes and mail sent from line-of-business apps.

New starters and movers slip through.

Someone changes title, moves office or leaves. The directory is right within the hour; their signature says otherwise for months.

Fields come from Entra ID or Google Directory on every send. Fix the directory once and the signature is correct on the next email.

Legal wants the disclaimer. Everywhere.

A transport rule appends it, then it appears three times in a thread, or not at all for external replies from a phone.

Disclaimers are part of the signature policy: once per thread, only where you say, with a version history when legal changes the wording again.

How it works

    Connect the tenant

    Sign in as a Global Admin (M365) or Super Admin (Google) and approve a short list of read-only scopes. Nothing is installed on endpoints.

  2. 02≈ 30 min

    Design the signature

    Start from a template or paste your existing HTML. Drop in directory fields, a banner slot and a disclaimer. Preview against real users.

  3. 03≈ 15 min

    Assign by group or OU

    Map signatures to security groups, dynamic groups or organisational units. Order rules, set exceptions, see who gets what before you turn it on.

  4. 04ongoing: none

    Done. It stays done.

    Directory changes flow through automatically. Marketing schedules banners without a ticket. You get an audit log and a monthly summary.

Pick the EU region at sign-up and your tenant is served entirely from EU data centres. Support access is logged and limited to that environment.

GDPR as standard

A DPA naming UnifySig as processor, the sub-processor list and 72-hour breach notification, without SCCs because nothing leaves the EU. Only directory fields are stored, never mail. This site asks before setting analytics cookies.

Impressum and registry details, once

Germany and Austria require business email to carry the registered name, seat, registry number and VAT ID. Put them in the disclaimer once, server-side, and every message from every device complies.

EUR, reverse charge for VAT-registered businesses

Prices in euros. Businesses with a valid VAT number are invoiced under the reverse-charge rule; card or 30-day invoice on annual Business and Enterprise. Support covers European mornings from Sydney.
