How to add an email signature in Zoho Mail

Before you start: have the signature ready

Zoho's editor takes pasted rich text and keeps tables, inline styles and links, and it can upload a logo image directly. Build the signature in the free signature generator and copy it, or paste plain text and use the toolbar.

Create the signature

1. Copy your signature.
2. Click the Settings gear (right-hand rail), then Signature.
3. Click + New Signature (or the plus icon).
4. Give it a name, click into the editor and paste. Use the image button to upload a logo if the paste did not include one.
5. Click Save.

Attach it to an address and choose the placement

1. On the same page, next to the signature, use Associate signature (or the address dropdown) to pick which sending addresses use it. Aliases and shared addresses can each have their own.
2. Under Signature position (or the placement setting), choose Above quoted text so replies carry it where people expect.
3. Set whether it is added to new emails, replies and forwards, or both.

While composing you can switch signatures from the signature icon in the editor toolbar.

What a Zoho Mail admin can set

Zoho Workplace admins can configure an organisation-level signature or disclaimer from the Admin Console, but it is one block applied to everyone rather than a per-person signature with each user's name, title and phone merged in. Most organisations pair an admin disclaimer with per-user signatures set as above, and give staff the generator so the per-user ones match.

Common problems

The signature is not added automatically

It is created but not associated with the address you are sending from. Open Settings → Signature and check the association.

It appears at the very bottom of replies

Change the placement setting to above the quoted text.

The uploaded logo is huge

Zoho inserts uploaded images at full pixel size. Export the logo at the size you want to display (a 240px-wide file for 120px display looks sharp on high-density screens) or paste a signature that sets explicit width and height.

The mobile app uses the signatures you set on the web for the same account, but check Settings → Signature in the app if one has been set there separately.

Setting signatures for a whole company

Per-user signatures in Zoho are still set per user. Organisations on Microsoft 365 or Google Workspace can have UnifySig apply one policy server-side, filled from the directory, across every mailbox and device.
